Office Administration & Submissions Assistant

This is a brilliant opportunity for a highly organised, reliable office all-rounder with bids and submissions experience to provide flexible administration support to Hayball’s busy and growing Brisbane team.

As the first point of contact for the studio, you have a professional, friendly persona and great communication skills, helping us build positive relationships with our clients, suppliers and colleagues. You’re naturally attentive, proactive and effectively manage your time ensure the studio functions smoothly and to pitch in and support the team where possible. You’re responsive, take pride in your work and don’t hesitate to roll your sleeves up to keep our space tidy and presentable.

You’ll liaise with our national Marketing and Communications team and apply your Bids and Submissions experience to support the Brisbane team in winning work. Your role here will vary as needed, assisting to collate and coordinate content for each bid, as well as putting your excellent InDesign skills to use across templates and other marketing related needs.

If you have a keen interest in design/marketing, a warm and bubbly personality and enjoy applying your organisational skills to support the day to day of a busy, creative studio – then our Brisbane team needs you!

Role and Responsibilities

General Administration:

  • Be a first point of contact for the studio, building rapport with all visitors (clients, consultants, suppliers)
  • Answer and direct incoming calls
  • Manage meeting rooms, studio calendars and diaries as well as travel arrangements
  • Maintain digital record of studio and staff related expense receipts including Cab Charges for Finance
  • Coordinate professional development and social activities, including catering requirements
  • Maintain stationery stock, kitchen amenities and other supplies
  • Ensure tidiness and presentation of the studio
  • Minute-taking as required – Monday Morning Tea Meetings
  • Provide administrative support to visiting staff from interstate studios
  • Office and Building Management support
  • Other general administration tasks as required

Bids and Submissions:

  • Intermediate+ InDesign skillsessential
  • Work efficiently with senior staff
  • Ability to coordinate the timely obtainment of bid content from other consultants
  • Assist in preparation for award submissions
  • Effectively coordinate key resources and content material based on brief
  • Liaise closely with national bid and submission team

Qualifications

  • A relevant Business Administration or Marketing qualification or minimum 2-3 years’ solid experience in relevant role

Experience and Skills

Essential

  • Experience in coordinating or collating for submissions and bid process
  • Intermediate Adobe Suite (InDesign) graphic design skills
  • Intermediate+ Microsoft Word, Excel and Outlook
  • Excellent verbal and written communication skills
  • High standard of organisational and time management skills

 Desirable

  • Experience in a receptionist/administrative function in a professional services firm
  • Client facing or customer service experience
  • Genuine interest in design

Architectural 3D Visualiser

Brilliant opportunity for a talented Architectural 3D Visualiser!

Our team is on the search for an exceptional, design-focused visualiser who can demonstrate a strong eye for composition and an understanding of how light works from a photographic perspective.

You must be proficient in 3DsMax, VRay and Photoshop – with Rhino and SketchUp skills a bonus. Ideally, you’ll bring at least 3-4 years’ experience in a similar role with an architectural practice and a sound understanding of architectural concepts.

You’ll be working closely with teams throughout the design process to produce high quality visualisations, photorealistic renderings and photomontages. We need you to be an effective communicator and team player, keen to contribute under tight deadlines within a highly collaborative team environment.

建筑电影之夜: 每个月我们会观看一部电影记录片,关注电影中“审阅建筑的特征”,以此来启发大家讨论交流。

高级项目负责人论坛: 黑铂乐于分享知识和想法。通常这个论坛包括了很多截然不同的项目。我们所有项目负责人每个月会聚在一起交流经验,了解和分享他们对项目的见解。
